1. Scope and application

This policy applies to personal data in the possession or under the control of Vorienta Pte Ltd (“Vorienta”, “we”, “us” or “our”). It is intended to support our obligations under Singapore’s Personal Data Protection Act 2012 (“PDPA”) and other applicable laws.

“Personal data” means data, whether true or not, about an individual who can be identified from that data or from that data together with other information to which an organisation has or is likely to have access. Business contact information may be treated differently under the PDPA.

Business-to-business communications

Vorienta currently operates primarily as a business-to-business solutions provider. When a person contacts Vorienta by email or another business communication channel regarding our products, solutions, partnerships or projects, we will generally understand that person to be communicating in a professional capacity on behalf of their business, employer or organisation, unless they inform us otherwise.

Information supplied in that context may include the person’s name, position, organisation, business contact details, project requirements and related correspondence. Vorienta may use this information to respond to the enquiry, assess requirements, prepare proposals, coordinate projects, maintain business records and manage the resulting professional relationship.

Business contact information will be treated in accordance with applicable Singapore law. This does not mean that all information submitted through a business communication falls outside the PDPA. Any personal data that is not business contact information will continue to be handled in accordance with this Privacy Policy and applicable law.

If you are contacting Vorienta in a personal capacity, please inform us and avoid providing sensitive or unnecessary personal information.

2. Personal data we may collect

Depending on how you interact with us, we may collect:

• Information you provide: name, organisation, job title, business or personal contact details, correspondence, project requirements, specifications, quotation information, feedback and other information you choose to provide.
• Business and transaction information: enquiry history, proposals, orders, delivery or installation information, records of communications and information required to manage a customer, supplier, partner or professional relationship.
• Website and device information: IP address, browser and device type, operating system, approximate location derived from IP address, pages viewed, referring website, dates and times of visits, link or contact-button interactions and similar usage information.
• Third-party platform information: information you make available when communicating with us through email, LinkedIn or another business communication platform. Where an authorised integration is used, this may include platform identifiers, page-administration information, content, permissions and authentication data required to operate that integration.

Please do not provide sensitive personal data, identification numbers, financial account credentials, medical information or information about another person unless it is necessary and you are authorised to do so.

3. Purposes for collection, use and disclosure

We may collect, use or disclose personal data for reasonable purposes including:

• responding to enquiries and arranging discussions;
• understanding requirements and preparing concepts, proposals, quotations or agreements;
• supplying products and services, coordinating engineering, production, logistics, installation, testing, commissioning, training and support;
• managing customers, suppliers, partners, advisers and other business relationships;
• operating, securing, analysing and improving our website, communications, products and services;
• sending service-related communications and, where permitted, relevant business updates or marketing communications;

We may disclose personal data, on a need-to-know basis, to:

• our employees and authorised representatives;
• manufacturers, technology providers, logistics providers, installers, systems specialists, Qualified Persons, professional advisers and other parties involved in evaluating or delivering a project;
• website hosting, analytics, communications, cloud, cybersecurity and other service providers processing data on our behalf;
• banks, insurers, auditors, advisers and counterparties involved in a proposed or actual business transaction; and
• government authorities, regulators, courts or other parties where required or permitted by law.

We do not sell or rent personal data. We take reasonable steps to limit disclosure to what is relevant for the applicable purpose.

5. Cookies and website analytics

Our website uses Google Analytics 4 to help us understand website usage and contact-button interactions. Google Analytics may use cookies or similar technologies and process information such as device and browser data, IP-derived approximate location, pages visited, session information and interactions with links. We use this information in aggregated or statistical form to assess website performance and improve user experience.

6. Transfers outside Singapore

Some service providers, manufacturing partners or recipients may be located outside Singapore or may process data in other countries. Where the PDPA applies, we take reasonable steps to ensure that overseas transfers are made in accordance with applicable requirements and that recipients provide a standard of protection comparable to the PDPA, unless an exception applies.

7. Retention

We retain personal data only for as long as reasonably necessary for the purposes described in this policy, to meet operational, contractual, legal, accounting or regulatory requirements, or to resolve disputes. Retention periods vary according to the nature of the information and relationship. When personal data is no longer required, we will take reasonable steps to delete, anonymise or otherwise cease retaining it, subject to lawful archival or backup requirements.

8. Security

We use reasonable administrative, technical and physical measures appropriate to the nature of the information to protect personal data against unauthorised access, collection, use, disclosure, copying, modification, loss, disposal or similar risks. No internet transmission, electronic storage system or security measure is completely secure, and we cannot guarantee absolute security.

9. Your choices and requests

Subject to the PDPA and applicable exceptions, you may ask to access personal data we hold about you, request correction of an error or omission, withdraw consent to particular uses or disclosures, or raise a concern about our handling of personal data.

Please contact our Data Protection Officer using the details below. We may need to verify your identity and request sufficient information to process the request. A reasonable fee may apply to an access request where permitted by law, and we will inform you in advance. Withdrawing consent does not affect prior lawful processing and may limit our ability to provide particular services.

You may opt out of marketing communications at any time by using the unsubscribe instructions provided or contacting us. We may still send necessary transactional or service-related communications.

10. Children’s data

Our website and business services are directed to organisations and adults and are not intended for children. We do not knowingly seek to collect personal data from children without appropriate authorisation. If you believe a child has provided personal data to us, please contact our Data Protection Officer.

11. Third-party websites and platforms

Our website contains links to third-party websites, research sources and communication platforms. Their privacy practices are governed by their own policies, not this policy.
